This is written for couples roughly nine to eighteen months from their wedding day, planning away from home — in Marbella (Costa del Sol), Mallorca, Gothenburg/Sweden or elsewhere in Europe. Maybe you have found a venue you love; maybe you are still choosing the place. You are wondering whether you need your own planner when the venue already has a coordinator, what it actually costs, and how much you will have to do yourselves. It is also written for the parents helping to pay who want to understand where the money goes.
Pink Palms is a boutique creative event agency, founded in 2024, producing destination weddings across Europe. We work concept-driven and detail-led, with one dedicated contact throughout. Anna Franzén, Senior Event Coordinator, leads our weddings and destination events in the Balearic Islands. We come in early — we don't take on work where we would join too late to deliver to our standard. What's included, per level
Plainly: Pink Palms works bespoke. We do not offer on-the-day-only coordination, and we don't work from fixed packages. That is a deliberate stance — we come in early enough to build the whole. Below are the three levels the industry usually names, so you can see where we fit.

What full planning concretely includes: one dedicated contact throughout; a bespoke creative concept with mood boards, palette and a production plan; a budget built and monitored; a full timeline for both the planning journey and the day itself; selection, negotiation and management of suppliers through our European network; liaison with the venue and its coordinator; and a team on site on the wedding day.
How the process runs
- First conversation. You reach us via the contact form, email, Instagram or WhatsApp. We listen for the vision, the place, a rough guest count and the timeframe (Discovery).
- Proposal and concept. We build a bespoke concept with mood boards, palette and a first production plan (Concept).
- Contract and deposit. The date is secured with a contract and a first deposit. The deposit depends on the venue.
- Planning rhythm. Ongoing check-ins over WhatsApp and email, formal meetings whenever they are needed; budget and timelines evolve as decisions are made (Production).
- Supplier selection. We propose and negotiate suppliers from our European network; you approve. Suppliers are always credited — we never claim others' work as ours.
- The final walk-through. In the last two weeks the timeline and every detail are locked with the venue and every supplier.
- The wedding day. Our team leads the set-up, styling and final checks, runs the schedule in real time — catering, entertainment, speeches, transport, guest experience — solves any issues discreetly, and oversees the day through to the final breakdown (The Day).
- After the wedding. We close the project with the final supplier invoices — you work with one person from the first conversation to the last invoice.
Investment
- Partial planning from €1,500 for a small wedding.
- Full planning from €3,000.
- How the fee is built: a flat fee agreed per project. Significant changes to the scope can increase it.
- Suppliers: we add no markup on suppliers' prices, and you always see the full picture — every supplier cost, our fee, and where the budget can flex.
- Deposit and payments: a first deposit on signing (the amount depends on the venue), a second deposit later in the planning, and the remainder before the wedding.
- Cancellation and postponement: they follow the terms of the venue and the other suppliers, which usually means the amounts already paid are not refunded. The full terms are set out in your contract.
- No minimum guest count and no minimum budget.
Every proposal is bespoke, so the price of your wedding depends on the place, the guest count and the scope. Tell us the three and we give you a figure, not a range.
Proof from real weddings
Since 2024 we have produced 55 events across Europe, including 10 weddings, mostly on the Costa del Sol — at venues including Puente Romano, Marbella Club, Kimpton and METT in Marbella, ME Marbella, Don Carlos, Nikki Beach, Boho Club and private fincas and villas across the Costa del Sol. We don't publish a couple's name, photos or event details without their explicit consent, so named case studies follow as couples say yes.
Do you work with our venue?
Yes. We work alongside the venue's own coordinator, not instead of them. The venue coordinator works for the venue — running the house side: rooms, catering timings, house rules. We work for you — concept, budget, your suppliers and the whole, coordinating with the venue's coordinator so the two roles don't clash.
In Marbella (Costa del Sol) we have produced events at fincas, villas, beach clubs and hotels; our about page lists venues we have worked at. In Mallorca and Gothenburg/Sweden we work at the destination's venues in the same way, and we produce weddings across Europe and travel to your destination.

How many meetings do you have with the planner before the wedding?
As many as your wedding needs — we don't cap them. We work with ongoing check-ins over WhatsApp and email throughout the planning, plus formal meetings at the key stages: kick-off, concept, production and the final walk-through. We confirm the meeting rhythm in our proposal, so you know what to count on from the start.
Do you handle the day-of coordination if we've already booked the venue ourselves?
We do not offer on-the-day-only coordination — we come in earlier in the planning so we can deliver to our standard. If you have already booked a venue, that is perfectly fine: we join the planning from there, as full or partial planning, and coordinate with the venue's own coordinator. Tell us where you stand and we will say how we can come in.
Do you take weddings with just 20 guests, or do we have to be many?
Yes. We work from intimate gatherings to large celebrations and apply no minimum guest count and no minimum budget. What we do need is to come in early enough, and for the timeline and budget to allow our standard. Get in touch and we will tell you plainly whether we are a fit for your day.
